This Privacy Policy explains how Applied Math Modeling, Inc. (“we,” “us,” or “our”) collects, uses, and protects information when you use CoolSim. It covers:
- this website, coolsimsoftware.com;
- the CoolSim web application at app.coolsimsoftware.com, including the free Model Builder;
- the CoolSim desktop software and its customer portal; and
- the cloud service that runs your simulations and delivers the results.
Together we call these the “CoolSim services.” If you have a signed agreement with us, that agreement governs your models and results wherever it differs from this policy.
Information we collect
Information you give us. When you fill in our contact or download forms, we collect your name, company, job title, email address, phone number, city, state or province, country, and anything you tell us about your project. The download form asks only for your name and work email. You do not need an account to download CoolSim, and we do not take payment information through the website.
How you found us. When you submit a form, we record the campaign tags in the link that brought you to the site (such as utm_source), the website that referred you, the first page you landed on, and the country your connection comes from. We store these with your inquiry so we know which of our pages and campaigns are useful.
Account information. If you have a CoolSim account, we hold your name, username, email address, organization, and, for some accounts, phone number, together with your password, the compute time you have used, and your account balance.
Your models and results. When you use CoolSim to run a simulation, we receive and store the facility model, any files you upload, your simulation settings, and what the simulation produces: results, reports, images, and solver logs. Models and files you send us by email or through a file-sharing service, for support or a trial, are handled the same way.
Using CoolSim without an account. A model you build in the Model Builder, or in the web application without signing in, stays in your web browser. It reaches us only if you choose to send it, for example by emailing the saved file to request a trial.
Technical information. When you use the CoolSim services, our servers record technical details such as your IP address, your browser type, the pages you request, and, when you are signed in, your username and the actions you take. We use these records to secure the service and investigate problems. On this website we collect only aggregate usage figures (see Cookies and similar technologies).
How we use your information
We use the information we collect to:
- respond to your inquiry and arrange demos, trial licenses, and consulting engagements;
- learn about the organization behind an inquiry from publicly available sources, such as its website, so we can route it to the right person;
- provide the CoolSim services: run your simulations, store your models, deliver results, and email you when a simulation starts, finishes, or fails;
- provide technical support and diagnose simulations that fail;
- test and improve CoolSim, including by re-running models customers have submitted on new versions of our solver, under internal accounts, to check that results stay correct before we release a change;
- send you notices about changes to CoolSim and, if you are a customer, occasional news and requests for feedback (see Your rights and choices);
- keep the CoolSim services secure and prevent abuse; and
- meet our legal, accounting, and record-keeping obligations.
We do not sell your personal information, and we do not use it for third-party advertising.
How we share your information
We share information with service providers that help us run CoolSim and our business, and only as needed for the purposes above:
- Amazon Web Services (AWS), which hosts the CoolSim web application and cloud service, stores models, results, and our databases, runs the simulations, and delivers our email.
- Cloudflare, which hosts this website and the Model Builder, delivers example models and software downloads, protects our forms from abuse, and measures website traffic.
- Salesforce, which receives the inquiries submitted through our website forms.
- Microsoft 365, which runs our company email.
- Intuit QuickBooks, which we use for invoicing and accounting.
- Anthropic, whose AI models our staff and our internal tools use to research and organize inquiries and customer records, and to help with support and engineering work, including reviewing models, results, and simulation logs.
- Citrix ShareFile, when you send us files through it.
- Contractors who help us develop and maintain CoolSim and who may access our systems, including models and account information, to do that work.
Our customer-relationship management (CRM) system, where we track inquiries and accounts, is operated by us on AWS.
If you create a share link for a simulation, anyone who has the link can view that simulation’s results until you revoke it.
If you bought CoolSim through a reseller, that reseller may receive notices about your simulations, including the log of a simulation that failed.
We may also disclose information when required by law or to protect our rights, property, or safety, or to a successor if our business is sold or reorganized.
Cookies and similar technologies
This website does not set cookies of its own. It stores your light or dark theme choice in your browser, and keeps the campaign tags described above in your browser only until you close the tab. We measure traffic with Cloudflare Web Analytics, which does not use cookies or track individuals across sites. Our forms use Cloudflare Turnstile to tell real visitors from automated abuse, and Turnstile may set a temporary token for that purpose. Training and webinar pages embed videos from YouTube in its privacy-enhanced mode. YouTube says that in this mode it does not store information about you unless you play a video; when you do, YouTube may set its own cookies and record that you watched it.
The CoolSim web application and customer portal use cookies and your browser’s local storage to keep you signed in, protect your session, and remember preferences such as units, theme, and time zone.
Some pages of the website and the customer portal load open-source code libraries from public content networks (jsDelivr and unpkg), which receive your IP address when they deliver the file.
We do not use advertising cookies, cross-site tracking, or third-party marketing trackers.
Where we store information
We store information in the United States: on AWS in its US West (Oregon) region, and on servers we operate ourselves in the United States. Some of the service providers listed above may process information in other countries where they operate.
Data retention
We keep inquiries for as long as needed to respond and maintain our business relationship. We keep account information, models, and results for as long as your account is active, and afterward for as long as needed for support, record-keeping, and legal obligations. We do not currently delete models or results automatically. You may ask us to delete your information at any time (see Your rights and choices); copies in our backups may remain until those backups are deleted.
Data security
We take reasonable technical and organizational measures to protect your information against unauthorized access, disclosure, or loss. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
Your rights and choices
Depending on where you live, you may have the right to access, correct, or delete the personal information we hold about you, or to object to or restrict certain processing. To exercise any of these rights, contact us at info@coolsimsoftware.com and we will respond in accordance with applicable law.
Every news or announcement email we send has an unsubscribe link. Emails about your own simulations and account are part of the service.
International visitors
We are based in the United States, and we store the information we collect in the United States. If you use the CoolSim services from outside the United States, you understand that your information will be transferred to and processed in the United States.
Children’s privacy
CoolSim is intended for business users. We do not knowingly collect personal information from children under 16.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above. Material changes will be reflected on this page.
